An AV quote can look straightforward at first. However, problems often appear after the event changes, the invoice arrives, or someone discovers that the original quote left out an essential service.

After producing more than 500 events, I’ve learned that the lowest quote does not always produce the lowest final cost. A useful quote should clearly show what your event requires, what the production company will provide, and what could cost more later.

Before your association or nonprofit approves an AV proposal, ask these seven questions.

1. Does the quote cover the complete event schedule?

First, confirm that the labor estimate covers setup, rehearsals, every live session, breaks, teardown, and any activities outside the main program.

For example, an early rehearsal or evening reception can create additional labor charges when the original estimate does not account for those hours.

2. What equipment does the quote include?

Next, ask for an itemized list of microphones, speakers, screens, projectors, cameras, lighting, computers, and other equipment.

You do not need to become an AV expert. Instead, you need to understand what you are paying for and why your event needs it.

3. Does the labor estimate match the schedule?

Your quote should identify how many technicians will work onsite, what each person will handle, and how many hours the team expects to work.

Also, ask when overtime begins. Long event days can quickly push labor costs beyond the original estimate.

4. Does the quote cover rehearsals and speaker support?

A rehearsal gives speakers time to test their slides, microphones, videos, and transitions. In addition, it gives the production team time to find and fix problems before the audience enters the room.

Ask who will collect presentations, check files, and support speakers during the event.

5. What will the venue provide?

Do not assume the venue’s internet, screens, sound system, or lighting will meet your needs.

Instead, confirm what the venue contract covers and what the production company will bring. You should also ask whether the venue charges separately for power, internet, rigging, or outside vendors.

6. What happens when the program changes?

Events change. A speaker joins the agenda. A session moves. Someone requests another microphone or video feed.

Therefore, ask how the production company handles changes and calculates the additional cost. You should also identify who can authorize an increase to the budget.

7. What costs does the quote leave out?

Finally, ask the production company to identify any likely expenses that do not appear in the quote.

These expenses may include travel, shipping, internet, power, overtime, recording, editing, or last-minute equipment requests.

A clearer quote creates a better event

A good AV quote does more than list equipment. It connects your agenda, venue, speakers, audience, and budget to a complete production plan.

You cannot prevent every event change. However, you can eliminate avoidable surprises and make sure your organization pays for what the event actually needs.
